Privacy Policy

The basics

Who are you?

We are Advertising Cleaning Services, a digital marketing company that works exclusively with cleaning businesses in the UK. Our website address is www.advertisingcleaningservices.uk and you can reach us at hello@advertisingcleaningservices.uk.

What law applies?

UK GDPR and the Data Protection Act 2018. We are the data controller for the information described in this policy. We do not currently need to be registered with the Information Commissioner's Office (ICO) because we are a small business that only processes data for our own legitimate business purposes, but we comply fully with our obligations under UK law.

Does this policy cover clients as well as website visitors?

This policy covers both. If you fill in our contact form or just browse the website, this policy tells you what happens to any data you provide. We describe client data separately below.

What we collect and why

What do you collect when I fill in your contact form?

Your name, business name, email address, phone number, current website URL, the service you are interested in, your approximate budget, and whatever you write in the message box. We collect this so we can respond to your enquiry.

What do you collect when I just browse the website?

Our web server logs standard technical data including your IP address, browser type, the pages you visit, and the time of your visit. This is automatic and happens on every website you visit. We use this data only for security monitoring and to fix technical errors — we do not use it to track you as an individual.

Do you use cookies?

We use one session cookie that is strictly necessary to make the contact form work securely. This cookie disappears when you close your browser. We do not use advertising cookies, analytics cookies, or third-party tracking cookies. If we add anything in future, we will update this policy and ask for your consent first.

Do you use Google Analytics or similar?

Not currently. This website has no Google Analytics, Facebook Pixel, or any other analytics or ad-tracking code embedded in it. We may add analytics tools in future, in which case we will update this policy.

What data do you hold about clients?

When you become a client we may hold: your name and job title, your business name and address, email address, phone number, advertising account credentials (Google Ads, Meta Business Manager), website access credentials, and campaign performance data. We hold only what is necessary to manage and report on your marketing campaigns.

How we use your data

What is your legal basis for processing my data?

It depends on the situation. When you submit the contact form: legitimate interests — you have reached out to us and we have a legitimate interest in responding. For clients: contract — we need your data to deliver the services we have agreed to provide. For any email marketing: consent — we will only send marketing emails if you explicitly opt in.

Will you email me with marketing after I contact you?

We may send you one or two follow-up emails if you have enquired with us and we have not yet spoken. We will not add you to a mailing list or newsletter without asking you first. You can ask us to stop emailing you at any time.

Do you sell or share my data with anyone?

No. We do not sell your data. We do not share your data with third parties for their marketing purposes. We use a small number of trusted tools to run our business — for example, our email provider — and these may technically process your data as a data processor acting on our behalf. We only use providers that offer adequate data protection guarantees.

Do you transfer data outside the UK?

We try to keep data within the UK and EEA. Some software tools we use (such as email services) may store data on servers located in the United States or other countries. Where this happens, we check that the provider has an appropriate transfer mechanism in place, such as Standard Contractual Clauses approved by the ICO.

How long we keep it

How long do you keep enquiry data?

If you enquire but do not become a client, we keep your contact details for up to 12 months in case you get back in touch. After that, we delete them.

How long do you keep client data?

We keep client records for 6 years after the end of the contract. This is the standard period required for UK tax and accounting records. Campaign data and reports may be retained for longer where they form part of an ongoing strategy record, but only in anonymised or aggregated form where possible.

How long do you keep server logs?

Server access logs are rotated and deleted automatically after 30 days.

Your rights

What rights do I have over my data?

Under UK GDPR you have the right to:

  • Access — ask us to tell you what data we hold about you
  • Rectification — ask us to correct inaccurate data
  • Erasure — ask us to delete your data (subject to legal obligations)
  • Restriction — ask us to stop processing your data in certain circumstances
  • Portability — ask us to send your data to you or another provider in a machine-readable format
  • Objection — object to us processing your data on the basis of legitimate interests
  • Withdraw consent — if we rely on your consent, you can withdraw it at any time

How do I exercise my rights?

Email us at hello@advertisingcleaningservices.uk with a brief description of your request. We will respond within 30 days. We will not charge you for this.

What if I am unhappy with how you have handled my data?

Please tell us first — we would like the chance to put it right. If you are still unhappy, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

Security and changes

How do you keep my data secure?

We use HTTPS encryption on this website. Emails containing personal data are sent and received over encrypted connections. We do not store contact form submissions in a database on the server — enquiries are emailed to us directly and then held in our email system, which is password protected and access controlled. We use strong, unique passwords and two-factor authentication on all accounts that hold personal data.

What happens if there is a data breach?

If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we are required by law to notify the ICO within 72 hours. If the breach is likely to result in a high risk to you personally, we will also notify you directly as soon as possible.

Will this policy change?

We may update this policy from time to time — for example, if we add new tools or services that affect how we process data. When we make material changes, we will update the "last updated" date at the top of this page. If you are a client, we will let you know directly about any significant changes.
